Before construction — open one project record

Keep the PIM, people, design basis, deadlines and monitoring plan together.

  1. Retain the issued PIM and application

    Keep the issued PIM, Form 2AA application and everything supplied to council.

    Keep the Building Act exemption assessment separate from the RMA planning assessment.

    Record the drawings, specifications, calculations and revision that will be built.

    Keep responsibility, contracts and licence or registration details for each regulated scope.

    Name the checks, evidence and responsible person before work begins.

    Set the completion deadline and an earlier decision date for any extension request.

During construction — collect evidence before it disappears

Capture covered work, variations and practitioner records as each stage finishes.

  1. Take dated site photographs

    Identify the location and design detail before work is covered.

  2. Retain professional monitoring reports

    Keep the evidence promised in the monitoring plan without calling it a council inspection.

  3. Keep product and test records

    Retain product information, warranties, tests and producer statements relevant to the design.

  4. Approve and draw every variation

    Record the instruction, reason, cost and updated drawing or specification.

    Do not wait until the project deadline to collect regulated documents.

At completion — assemble and submit the final pack

Confirm the statutory records, accurate final plans and evidence of submission.

  1. Collect applicable LBP and trade records

    Obtain Records of Work and applicable plumbing, drainlaying, electrical and gas records.

  2. Obtain design Certificates of Work

    Collect the applicable certificates for restricted design work.

  3. Make final plans match the completed work

    Include every variation and the final plumbing and drainage as-builts.

  4. Send the completion pack to the PIM council

    Submit within the statutory period and keep evidence of receipt.

    Record the due date and proof of payment for any development contribution.
